Data Management Plan als vereiste in je onderzoeksproject

Voor Vlaamse onderzoeksfinanciers (FWO, cSBO VLAIO) is datamanagement een integraal deel van goede onderzoekspraktijken. Een Data Management Plan (DMP) is vereist voor FWO-projecten en -mandaten en voor cSBO VLAIO-projecten.

Een initieel DMP moet ingediend zijn zes maanden na de officiële startdatum van de financiering. Een finaal DMP is vereist aan het einde van de financieringsperiode. 

Een nieuwe versie van de verplichte DMP template voor FWO en cSBO VLAIO gefinancierd onderzoek is beschikbaar.
Sinds 1 september 2025, moeten alle nieuwe DMPs deze bijgewerkte template gebruiken, beschikbaar via DMPonline.be. 

Hoe werkt het?

Om gebruik te maken van de nieuwe template in DMPonline.be, duid je FWO of VLAIO als ‘funder’ aan tijdens de aanmaak van een nieuw plan, en de nieuwe DMP template zal je voorgesteld worden.

Belangrijk: als je een bestaand plan kopieert dat gebaseerd was op een oude versie van de template, zal de oude template versie gebruikt worden, wat niet toegelaten is voor nieuwe DMPs. 

Het initiële DMP moet ingediend worden via GISMO (hier vind je instructies hoe dit moet), binnen de zes maanden na de officiële start van een project of mandaat. 

Aan het einde van de financieringsperiode moet een finale versie van het DMP worden toegevoegd aan het finale verslag van het project of mandaat, waarin beschreven wordt hoe data tijdens het project beheerd werd en hoe de data gedeeld en gearchiveerd werd. Voor FWO moet deze finale versie ingediend worden via het e-portaal. Je mag verder werken op basis van de DMP template die oorspronkelijk gebruikt werd, m.a.w. de template die moest gebruikt worden toen het project startte. Je mag ook een nieuwere versie gebruiken. 

Het DMP wordt mee in overweging genomen tijdens de finale evaluatie van het project door het evaluatiepanel. In afwezigheid van een gedetailleerd DMP, of wanneer je niet de correcte DMP template gebruikte, zal het verslag als onvolledig worden beschouwd. Als deel van de verstrengde regels omtrent rapportering, zullen verslagen die na een remediatieperiode van 30 dagen nog steeds onvolledig zijn, leiden tot een uitsluiting van de begunstigde voor toekomstige financieringsaanvragen voor een periode van 12 maanden na de finale beslissing van de evaluatie.

Data Management Plan as requirement in your research project

For Flemish funded research (FWO, cSBO VLAIO), Data Management constitutes an integral part of sound scientific research. A Data Management Plan (DMP) is required for FWO projects and fellowships as well as for cSBO VLAIO projects. An initial DMP is required six months after the official start date of the funding. A final DMP is required at the end of the funding period. 

A new version of the mandatory DMP template for FWO and cSBO VLAIO funded research is available.
From 1 September 2025 onwards, all new DMPs must use this updated template, which is available in DMPonline.be. 

How does it work?

To use the new template in DMPonline.be, indicate FWO or VLAIO as a funder during the creation of a plan, and the new DMP template will be proposed.  

Important: if you copy an existing plan that was based on a previous version of the template, the old template will be applied, which is not allowed for new DMPs. 

The initial DMP must be submitted via GISMO (see instructions here), within six months of the official start date of the project or fellowship. 

At the end of the funding period, a final version of the DMP, describing how data was managed during the research project and where data is shared and preserved, must be attached to the final report of the project or fellowship. For FWO, this final version must be submitted to FWO via the e-portal by the supervisor-spokesperson or fellowship holder. You may continue to work in the DMP template that you initially used, i.e. the template that had to be used when the project started. You may also use more recent versions.  

The DMP is taken into consideration during the final evaluation of the project by the evaluation panel. In the absence of a detailed DMP or when you did not use the correct DMP template, the final report will be considered as incomplete. As part of the more stringent FWO reporting policy, reports that are incomplete after a 30-day remediation period will lead to the exclusion of the beneficiary from future funding for 12 months after the final decision of the evaluation.
